The Subset Query allows a group of parcels to be selected for subsequent downloading to your personal computer. The selection criteria are specified on the Subset Query page.   Clicking on the        button takes you to the Subset Query Results page;   where you can preview the selected records before generating a text file to be downloaded.  Options for generating the text file are presented on the Subset Query Results page.

Maximum number of records to Display:  Enter a number between 1-500
The Maximum number of records to display limits the number of records to be displayed on the Subset Query Results page.  Values between 1 and 500 are valid.  The default is 25.  This field has no effect on the number of records that will be generated in the text file.

All of the selection criteria which you specify on the Subset Query page (with one exception described below) are "ANDed" together.  This means that a parcel must meet all of the specified criteria to be selected.  For example, specifying:

will select all parcels in Tax Area 027 with owner addresses in Colorado.  No Colorado owners in other Tax Areas will be included; nor will parcels in Tax Area 027 with out-of-state owners be selected.
The Exclude check box can be used to exclude parcels with specified criteria.  Checking Exclude has the same effect as saying "NOT".  For example specifying:

will select all parcels in Tax Area 027 with out-of-state owners.

If you specify no criterion for a given field, that field is ignored.  Any drop down box that Contains the word "All" is considered to have no criterion specified.  Any blank input field is considered to have no criterion specified.

Clicking the button will clear all selection criteria.

To prevent users from inadvertently selecting the entire database, clicking the Preview Search button without specifying any selection criteria is considered an error.  If you wish to generate a text file containing all records in the database, enter "0" in the Actual Value field under the Greater Than or Equal To column.   Since all values in the system are greater than or equal to zero, all records will be selected.

A detailed description of the selection criteria follows.


Tax Area allows you to select an individual Tax Area.
 

Zip Code Group allows you to select parcels by the Zip Code of the owner's mailing address.  The individual Zip Codes are not selectable.   This grouping allows you to select (or exclude) parcels by in-state, in-county, or in-Aspen owners.

You have the ability to define your own group of Subdivisions. You can select a maximum of 3 Subdivisions to form a group.  This grouping is an exception to the "ANDing" of criteria described above.  Parcels that are in any one of the selected Subdivisions are considered to meet the Subdivision group criteria. For example:

will select parcels that are in either "FARAWAY RANCH NORTH" or "FARAWAY RANCH SOUTH". As previously stated, any Subdivision criterion field containing "All Subdivisions" is ignored

The Subdivision group, collectively, is "ANDed" with the other specified criteria.   If the Exclude box is checked, it applies to the Subdivision group collectively (a parcel is excluded if it is in one of the selected Subdivisions).

The sample drop down boxes, below, contain only a few of the Subdivisions available on the Subset Query page.

Owner Name allows you to select parcels by Owner Name.  The names of people are entered last name first.  A space separates the last name from the first name.  If a  middle name or initial is recorded a space separates it from the first name.  Neither commas nor periods are used.

Business names are entered in the normal way.

Owner Name searches are essentially wildcard searches.  Any name which begins with the specified name will match.  For example:

will match "Smith George A" as well as "Smithsonian Institute" and "Smith Betty Sue".  Specify as much of the name that is appropriate to your search. Name searches are not case sensitive.

Parcels on unplatted land contain a metes and bounds description in the Legal Description field. These parcels can be selected based upon the specified Township and Range. Both the Township and Range must be specified. The Subset Query Page constructs a search string based upon the Township and Range that you specify.  The search will retrieve records which contain that string anywhere in the Legal Description.  For example, specifying:

will retrieve records containing "SECT,TWN,RNG:" followed by any section, followed by  "-11-88" in the Legal Description.  The following excerpt from a Legal Description contains a match:

The Parcel Number is encoded with components derived from Township,  Section, Qtr Section, Block, and Parcel .   To use the Parcel Number search, select a Township from the drop down box.  If you choose to specify Section, select a Section from the drop down box.  Section and Qtr Section are optional.  But you cannot specify a Qtr Section without specifying a Section.  If you choose to specify Qtr Section, select a Qtr Section from the drop down box.  If you entered a Qtr Section, you may enter a Block and Parcel in the respective fields.

The Subset Query page constructs a search string that will retrieve records with Parcel Numbers that  fall within the specified criteria.

To search for a parcel by Physical Address, enter as much of the Street Name as you wish, and click Search.  To restrict the search to a specific street address, enter the Street Number as well as the Street Name.  To restrict the search to a specific city, enter the City along with the Street Name (and Street Number, if appropriate). 

Searching on the fields specified below will retrieve records for properties located on Maple in Aspen.  Properties on Maple in other towns will not be retrieved.

Street Name searches (like owner name searches) are essentially wildcard searches.  Any street name which begins with the specified name will match.   City must be an exact match.  Neither Street Name nor City are case sensitive.  Street Number must be an exact match.

Actual Value, Acres, First Res Sq Ft Living Area, First Res Year Built, First Comm Total Area, and  First Comm Year Built are numeric fields.   You can specify a minimum value in the "Greater Than or Equal To" column, a maximum value in the "Less Than or Equal To" column, or both.  For example:
First Res Year Built: 
will select houses built between 1990 and 1995 inclusive.  The First Res fields apply to the first residence building on the property.  Additional residence buildings are not included in the search.  The First Comm fields apply to the first commercial or industrial building on the property.  Additional commercial or industrial buildings are not included in the search.
